Click the Settings icon in the upper right-hand corner of your Collector Systems screen. Select Account Settings from the drop-down list.

In the Account Settings window, click the Customize tab.

Types of User Defined Fields:

Small text field: Each account can have up to forty user defined text fields, which can hold up to 500 characters. In the Customize screen, "User Defined 1 Label" through "User Defined 40 Label" are small text fields.

Rich text fields: Each account can have eighteen user defined rich text (memo) fields. These can hold up to 32,000 characters and can include formatting such as bold or italicized text and line breaks. In the Customize screen, "User Defined Rich Text 1 Label" and "User Defined Rich Text 40 Label" are rich text fields.

Date fields: Each account can have two user defined date fields (in MM/DD/YYYY or DD/MM/YYYY format, depending on the language selection for your account). In the Customize screen, "User Defined Date 1 Label" and "User Defined Date 2 Label" are date-format fields.

Currency fields: Each account can have two user defined currency fields for data that is not already captured in one of the financial tabs in CS. In the Customize screen, "User Defined Currency 1 Label" and "User Defined Currency 2 Label" are currency fields. The "User Defined Domestic Currency" fields can also be used to show the conversion into the domestic currency for your account.

Number fields: Each account can have two user defined number fields, which can only include numbers (no text). In the Customize screen, these are "User Defined Number 1 Label" and "User Defined Number 2 Label."

User Defined Acquisition Fields: Each account can have ten user defined Acquisition Line Item fields. These additional fields allow you to record invoice expenses beyond simply discount and tax. For example, you may have a buyer’s premium, commission, or framing costs on the invoice. Each account can have up to 2 Acquisition Tax fields. Please add only numbers to these fields (no currency symbols).

User Defined Expense Fields: Each account can have two Expense Tax fields. Please add only numbers to these fields (no currency symbols).

User Defined Sale Fields: Each account can have ten user defined Sale Line Item fields. Please add only numbers to these fields (no currency symbols).

User Defined Conservation Fields: Each account can have up to five user defined fields, three user defined date fields, and three user defined rich text fields in the Conservation tab.

User Defined Controlled Vocabulary Fields: Each account can have 10 user defined controlled vocabulary object fields and 5 conservation fields. These fields are perfect for creating your own lists with custom terms, easily controlled within a drop-down menu.

User Defined Contact Fields: Each account can have 10 user defined contact fields.
